The Problem

  • Most bookkeepers have never opened a YouTube Studio dashboard

They can categorize a sale and a refund, but they cannot tell you how to split an affiliate payout that lands three months after the video that earned it, what to do with a brand deal that pays half on signing and half on delivery, or why an AdSense deposit and your actual earned revenue are never the same number.

  • That gap costs creators money twice

Once when income gets miscategorized and the tax bill comes in wrong, and again when nobody flags that an S-corp election would have kept real money off your self-employment tax bill this year.

  • Every dollar starts in a different place

We track each source separately from day one, so your profit and loss shows you where the channel's money actually comes from instead of one unclear revenue line.

What You Get

  1. 01

Monthly bookkeeping built around AdSense, brand deals, Super Chats, and merch, not a generic template

We built our creator bookkeeping around how YouTube actually pays you, not around a generic small business chart of accounts.

  2. 02

Contractor 1099 filing for your editor, thumbnail designer, or scriptwriter

We prepare and file 1099s as part of ongoing bookkeeping and handle W-9 collection upfront, so filing season is not a scramble.

  3. 03

A tax plan that revisits your LLC and S-corp position as the channel grows

We flag the S-corp conversation once your channel income supports it, calculate what you should be setting aside for quarterly estimated taxes, and make sure AdSense, brand deals, and gifted products are all treated the way the IRS actually expects, not the way a generic guide assumes.

  4. 04

Catch up work if your books have fallen behind

Cleanup and catch up work is priced separately from ongoing monthly bookkeeping and covers reconstructing prior periods, rebuilding your chart of accounts around creator income types, and clearing anything sitting uncategorized.

YouTuber Bookkeeping, Explained

The month you hit your first silver play button, one hundred thousand subscribers, is usually the same month your income stops looking like a hobby and starts looking like a business that needs real books.

Most bookkeepers have never opened a YouTube Studio dashboard. They can categorize a sale and a refund, but they cannot tell you how to split an affiliate payout that lands three months after the video that earned it, what to do with a brand deal that pays half on signing and half on delivery, or why an AdSense deposit and your actual earned revenue are never the same number.

That gap costs creators money twice. Once when income gets miscategorized and the tax bill comes in wrong, and again when nobody flags that an S-corp election would have kept real money off your self-employment tax bill this year.

We built our creator bookkeeping around how YouTube actually pays you, not around a generic small business chart of accounts.

Every dollar that reaches you through YouTube starts in a different place, AdSense, a brand deal, an affiliate link, a membership tier, a merch sale, a tip. We track each source separately from day one, so your profit and loss shows you where the channel's money actually comes from instead of one unclear revenue line.

We understand the creator world. AdSense, brand deals, Super Chats, and merch are not edge cases for us, they are the default.

Bookkeeping tells you what happened. Tax planning tells you what to do about it. We flag the S-corp conversation once your channel income supports it, calculate what you should be setting aside for quarterly estimated taxes, and make sure AdSense, brand deals, and gifted products are all treated the way the IRS actually expects, not the way a generic guide assumes.

Scope is set around how your specific channel earns, but most creator files include the following:

  • AdSense revenue, tracked against the monthly Google payout
  • Brand deal and sponsorship income, split by signing payment and delivery payment
  • Affiliate commissions from Amazon, software, and tool partnerships
  • Channel membership and YouTube Premium revenue
  • Merchandise and digital product sales
  • Equipment and gear purchases, tracked for depreciation
  • Software subscriptions, editing tools, and music licensing
  • Contractor payments to editors, thumbnail designers, and scriptwriters
  • Home office and internet allocation
  • Travel and location shoot expenses
  • Gifted products and barter income, valued at fair market rate

Most channels past a certain size run on contractors, an editor, a thumbnail designer, a scriptwriter, sometimes a virtual assistant. Each one who crosses the filing threshold needs a 1099-NEC, and getting the threshold wrong is an easy way to under-report.

Under the One Big Beautiful Bill Act, the 1099-NEC threshold rises from $600 to $2,000 for payments made from 1 January 2026 onward. Payments made in 2025 are still governed by the $600 threshold. We track this at the contractor level so nothing slips between the two rules.

We prepare and file 1099s as part of ongoing bookkeeping and handle W-9 collection upfront, so filing season is not a scramble. For a closer look at how we handle contractor filings, see our 1099 tax filing service.

ConceptWhat we do
S-corp electionWe model the self-employment tax savings against your actual profit and flag the right year to convert, along with the payroll compliance that comes with it
Quarterly estimated taxesWe calculate what you owe each quarter using Form 1040-ES and flag each deadline before it arrives
AdSense taxabilityAdSense income is taxable the moment it is earned, whether or not Google has deposited it yet, and we track it that way
Deduction itemizationCameras, lighting, microphones, editing software, and a proportional home office all get tracked as deductible from day one
Business and personal separationWe help you keep a business account and card separate from personal spending so nothing gets missed or double counted
Multi-income complexityAd revenue, brand deals, affiliate income, and merch each get tracked and taxed correctly, even when they land in the same month
International revenueCross-border payments and any foreign withholding get accounted for correctly, not lumped into domestic revenue
Brand deal milestonesA sponsorship paid in stages gets recorded against the right delivery, not counted all at once
Catch up bookkeepingWe reconstruct however many months or years have gone untracked before starting the monthly cycle
