The Problem

  • Nothing is withheld from what you earn

Tax on freelance income is due as you earn it, not once a year.

  • Business money and personal money

One bank account handling client payments, groceries, and software subscriptions is the single most common reason freelance books are a mess.

  • Irregular income and cash flow

Freelance income arrives in blocks, and the gap between invoicing and payment is where most cash flow trouble sits.

How It Works

Start From Your Return

Onboarding starts with your last filed return and whatever state your books are in, not a generic questionnaire. If you are months or years behind, catch up work comes first.

Send the Payment Amount

Ahead of each deadline we send the payment amount and the prepared Form 1040-ES voucher.

Close and Reserve

Once the file is current the cycle repeats. We close the month, reconcile every account, and keep a running tax reserve figure so you know which part of your balance is not yours to spend.

Accounting Services for Freelancers, Explained

Every freelancer learns this the same way. A large invoice clears, the balance looks healthy, and April arrives with a bill nobody set aside for.

Tax on freelance income is due as you earn it, not once a year. The IRS expects four payments and charges interest on anything paid late. There is no payroll department catching the shortfall for you.

That is the job we take on. We keep the books current, calculate what each quarter owes, and tell you the number before the deadline, not after.

Generic bookkeeping produces a tidy set of accounts that still has to be rearranged at filing time. We build the chart of accounts around the return you actually file.

Client payments, platform payouts, and business expenses are categorized and reconciled every month, mapped to the lines that appear on your Schedule C. At year end the return is assembled from records, not reconstructed from bank statements.

One bank account handling client payments, groceries, and software subscriptions is the single most common reason freelance books are a mess. It is usually the first thing we fix.

A dedicated business checking account, used exclusively, is what makes a deduction defensible. Commingled accounts leave you asking an examiner to accept a categorization made from memory. If you have formed an LLC the stakes are higher, because liability protection depends on the company being treated as separate from you.

You are required to make quarterly estimated payments if you expect to owe $1,000 or more for the year after credits and withholding.

The four due dates are April 15, June 15, September 15, and January 15 of the following year, each moving to the next business day when it falls on a weekend or holiday. Payments go in on Form 1040-ES.

Missing one does not trigger a flat fine. The IRS charges an underpayment penalty, calculated as interest on the shortfall from the due date until it is paid, so catching up in December does not undo an April miss.

Safe harbor is the protection worth knowing. Pay either 90 percent of this year tax or 100 percent of last year total and the penalty does not apply, even if you owe more at filing. The threshold rises to 110 percent for higher earners.

Move 25 to 30 percent of every client payment into a separate account the day it lands. We replace that rule with the real figure from your books.

Self-employment tax is 15.3 percent of net self-employment earnings, made up of 12.4 percent for Social Security and 2.9 percent for Medicare.

This is the part that catches first-year freelancers. It is not instead of income tax, it is on top of it, which is why $60,000 of profit produces a larger bill than a $60,000 salary.

The Social Security portion applies only up to the annual wage base, $184,500 for 2026. Earnings above that carry Medicare tax alone, with an additional 0.9 percent above $200,000, or $250,000 for joint filers.

Half of it is deductible. It is calculated on Schedule SE, carried to your Form 1040, and comes off as an adjustment to income, not a Schedule C expense.

Home office: Rent, utilities, and insurance apportioned to a space used regularly and exclusively for work. A spare room qualifies, the kitchen table does not. Simplified gives $5 per square foot up to 300 square feet; actual expenses usually return more.

Vehicle mileage: Business miles at the standard rate, which for 2026 is 72.5 cents through June 30 and 76 cents from July 1. A log kept at the time is required, showing date, distance, and purpose.

Software, equipment, and professional development: Subscriptions, hardware, courses, and memberships tied to the work you sell.

Self-employed health insurance: Premiums for you, your spouse, and dependents, taken as an adjustment to income.

SEP-IRA and Solo 401(k): Either shelters far more than a standard IRA, and a Solo 401(k) allows both an employee deferral and an employer contribution.

QBI deduction: Section 199A allows up to 20 percent of qualified business income, subject to income thresholds and type of business.

Phone and internet: The business-use percentage you can support, not the whole bill.

Schedule C is the return that reports your freelance profit. Revenue in, deductible expenses out, and the net figure flows to your Form 1040 and Schedule SE.

Clients send Form 1099-NEC for what they paid you, but the income is reportable whether or not a form arrives. That matters more from 2026, because the threshold rose from $600 to $2,000 for payments made from January 2026. Clients will issue fewer forms, so your own records become the primary evidence.

Platform and payment processor income is reported on Form 1099-K instead, under a separate federal threshold. We reconcile every form against your books and issue the 1099s you owe subcontractors. More on 1099 tax filing.

Freelance income arrives in blocks, and the gap between invoicing and payment is where most cash flow trouble sits.

We track invoice aging so you know which clients are 30, 60, or 90 days late and can chase before a balance goes cold. We build the tax reserve during strong months so a lean quarter does not eat money already owed.

We also report your effective hourly rate against your headline rate, once unbilled admin and collection time are counted, and track profitability by project and client.
